WMRC General Meeting December 9th, 2013 at 7:00 p.m. Ricky’s Restaurant, Langley, BC IN ATTENDANCE: Scott Borthwick, President Bruce Aylen, Promotions Jayson Lynch, Treasurer Jason Hanson, Secretary 7 members 1. CALL TO ORDER President Scott Borthwick called the meeting to order at 7:08 p.m. 2. MINUTES That the Minutes of the WMRC meeting held on November 4th, 2013, be accepted. CARRIED 3. FINANCIAL REPORT – Jayson Lynch The current account balance is $26,143.00. There is $1,752.00 in outstanding payables. There are several small individual collections ongoing The bike show booth has been paid for. There will still be some misc. bike show expenses. PROMOTIONS REPORT –Bruce Aylen Promotions is getting ready for the bike show. The televisions will be at the bike show again, tv ad spots to be sold. Hoping to find a list of ad purchasers from last year. This year’s poster is almost done, just waiting for race dates confirmation. Promotional cards with gate pass will be created again. This year the gate pass promotion on the card will be “buy one, get one free”. Different gate pricing was discussed -$5.00 per bike & a flat fee per car load. Taste of Racing will continue this year, volunteers are needed to run it. It was re-iterated that sponsors should pay their bills in full before they are added to promotional materials. OLD BUSINESS a. Results/ Lap Times: were not posted on the WMRC web site for the last round. Gail LaLonde and Dean Drolet were not available for comment. *COMPLETED b. Vancouver Motorcycle Show: WMRC members were invited to send in their videos/ photos, etc. to be included in the television advertising that will be on display at the 2014 Vancouver motorcycle show. The ads will cost $100. WMRC 2014 memberships will be available for purchase at the show. *ONGOING 6. NEW BUSINESS Race dates have been announced: May 10, 11 July 26, 27 Sept 27, 28 May 9, WCSS (race school) July 25 WCSS Sept. 26 could be added as a possible WMRC day. Possible suggestions for the day are a practice day, another race school, an endurance race or a cash prize race. WCC to be determined DBcom timing system. John Cathie will try and sell the DBcom hardware and software system. It was discussed that DBcom transmitters could be included in the sale of the system and that to do so there could be an offer where the club could buy the memberships old transponders or the possibility to include the return in the license application so that if the transponder is turned over there is a discount towards the licence fee. There was a mention to speak to Dean about the computers to run the new timing system. 7. why did the exec accept dates so late in sept??????? the club took a huge hit on the last weekend this year. do we want to take a risk on bankrupting the club? I would rather take midweek dates earlier ie june through august. and early may is a huge risk as well. with having to pay for a new lap timer, licence etc I think there will be a big drop in attendace this year. there should have been a quick online survey to ask the membership about that september date,
We're well aware of the gamble involved in taking the September dates and we're doing the best we can with what we were offered.. Most likely by the time an online survery was created and polled and a decision found the dates would've no longer been available anyways..
Andre, the biggest challenge with mid-week dates is getting enough staff and volunteers to actually run the race day. For many, that's a day off work, and a day without pay. The club has never broke even on mid-week days and those have always been a loss too.
Just need to make the best out of what we have. Kind of like making chicken salad out of chicken sh*t. Both September and May are hit or miss, but they are infinitely better than April and October. At least the tire budget will be better for this year!
It's a bit disappointing that after the club has raced Mission for 12 seasons we still get the leftovers. You'd think they'd throw us a bone occasionally.
The thing is, they can make more money off a private rental than from us. We will always get the dregs.
I don't think they are giving private rentals in front of us. The problem is that there is only one track in BC and that it is simulataneously trying to service drag racing (redundant dates needed), car roadracing (with 4+ sanctioning bodies), car roadracing school, WMRC and WCSS. It is a very busy track that keeps getting busier.
