WMRC General Meeting Minutes, September 2020 Attending: 14 (via Zoom meeting) Including: Nick Dudziak – President Sean Durell-Promotions Brett Hanson - Treasurer The Meeting was called to order at 7:05PM by Nick Dudziak. Minutes from the Aug General Meeting were read by Allan Hay. Motion to accept the previous minutes were made by Frank C and seconded by Sean D. Treasurers Report: Brett Hanson reported our current bank balance $121,829.01 plus our GIC of $50,814.41 (matured amount $814.41) for a total of $172,643.42. Invoices paid were paid for ambulance, track rental, banking fees, security, ambulance and supplies. Totaling 8,840.30 Current bank balance with a few outstanding invoices is $163,803.12 Promotions Report: Nothing to report All info and contacts Sean made from the 2020 season will be compiled and be made available to the 2021 exec. New Business: Jay S started a discussion about the AGM and how to conduct voting and nominations. Nick D motioned for a vote to form a committee to look into the possibilities and application of this system. All members verbally voted yes. There was more discussion on this topic about how to confirm membership, double-checking and how to keep votes private. Cam T, Charlotte G and Jay S volunteered to spear head this venture with the input of the executive. Allan H will be providing all membership and license info for confirmation come the AGM for voting and meeting admission. Jay S mentioned about how the trials club runs their executive and having overlap and length of term of executive positions so incoming new exec would have some continuity and know better what happened in previous years. Some discussion was had on our GIC investment and it maturity. Jay S informed us that GIC and “safe” investment are at zero or negative growth currently. Future discussion will be had once the markets normalize a little better, until then the money will be kept in a separate “saving account” Jay S brought up about our assets and the depreciation of the assets and saving toward their eventual replacement/repair. There will have to be an inventory taken and compiled, replacement cost looked into. The topic of “legacy records” was brought up and discussion about where everything is if we have anything. At this time there is not really anyone taking on this project or the location of any records other than what is on the website or MRS for results. 2020 License and registration will now be handled by Allan Hay and you can reach him at registration@wmrc.ca for any questions about your membership, race license or graduation process, please email him. If you wish to attend and vote at the AGM, you MUST have a membership!
