CALL TO ORDER President Scott Borthwick called the meeting to order at 7:15 p.m. 2. MINUTES That the Minutes of the WMRC meeting held on October 7, 2013, be accepted. Jayson Lynch Alex Dimitru CARRIED 3. FINANCIAL REPORT – Jayson Lynch The banquet has been paid ($4,300.00). Newlands Golf & Country Club have 100 seats reserved and currently 90 tickets have been sold. The room can be increased to 120 seats. The current balance on hand is $22,988.40; there is about $4,700.00 in outstanding sponsorships and $2,000.00 in outstanding payables. 4. PROMOTIONS REPORT The year-end trophies and banquet agenda are being organized. Updates are being sent via email, and Facebook. If members are not receiving WMRC emails they should let Bez Cajee know so that contact information can be corrected/ updated. 5. NEW BUSINESS a. Lap Times were not posted on the WMRC web site for the last round. Gail LaLonde and Dean Drolet were not available for comment. b. Vancouver Motorcycle Show (January 24-26, 2014) WMRC members were invited to send in their videos/ photos, etc. to be included in the television advertising that will be on display at the 2014 Vancouver motorcycle show. The ads will cost $100.00. WMRC 2014 memberships will be available for purchase at the show. 6. CALL TO ORDER – Alex Dimitru Alex Dimitru called the meeting to order at 7:27 p.m. 2. EXECUTIVE REPORT – Scott Borthwick The 2012/2013 Executive was able to increase the bank account of the WMRC to start the 2013/2014 year at almost $25,000. The 2013 race dates that were given to the WMRC were obtained fairly early in the 2013 season and were an improvement over the previous race season with double the amount of dates (from four days to 8 days) and were all weekend dates (instead of week day). The 250 Class is the growth class for the WMRC. Three years ago, the 250 Class had three bikes on the grid. In 2013, there were as many as 23 bikes on the grid. This is a real asset to the WMRC financially. Unfortunately, the last race round was a bit of a wash out both figuratively and financially with a loss of about $11,000 over the two-day race weekend. One of the goals of the Executive was to purchase a new scoring system. This was successfully accomplished and the WMRC will be using the AMB scoring system in 2014. 3. 2013 YEAR-END FINANCIAL REPORT – Jayson Lynch The year-end financials include the dates from November 2012 to October 27, 2013: Total credits: $99,348.75 Total debits: $93,514.80 Net profit (for the 2013 race season): $5,833.95 Outstanding receivables: Sponsorship: $5,500.00 Outstanding payables: BC Ambulance: one day ($1,387.60 estimate) Paragon Communications: for radio rentals Major expenses incurred for the 2013 race season: Vancouver Motorcycle show $3,598.15 (includes WMRC clothing costs) Track rental: $31,840.00 BC Ambulance: $12,406.10 Trackside catering: $1,185.25 Gate security: $4,208.15 Insurance: $6,680.92 4. ELECTION – Alex Dimitru All elected positions below received nominations from the floor and are for a one year term: President Scott Borthwick ACCLAIMED Vice President Mike Thompson ACCLAIMED Treasurer Jayson Lynch ACCLAIMED Secretary Jason Hanson ACCLAIMED Promotions Director Bruce Aylen ACCLAIMED The Past President position is only for a one year tem therefore this position will be vacant for the 2014 race season. Promotions will include one additional position to be appointed by the 2014 Executive. 5. Timing results are up. I apologize to everyone for the delay. This was entirely my fault as I forgot about the attachments in my email. Website is now fully updated, even with the new exec, and is also now running the latest versions of software so hopefully we are a little more resilient to hacking attempts.
Trackside catering: $1,185.25 we have to pay to have that person there with the food truck? Cant we look into someone doing it for free? a charity of some sort?
