    General Meeting
    October 7, 2013 at 7:00 p.m.
    Ricky’s Restaurant, Langley, BC


    IN ATTENDANCE:

    1. CALL TO ORDER
    President Scott Borthwick called the meeting to order at 7:09 p.m.

    2. MINUTES
    The Minutes of September 16, 2013 were read and reviewed at the meeting.

    3. FINANCIAL REPORT – Jayson Lynch
    There was a net loss of $11,000 for the last weekend of racing on September 28[SUP]th[/SUP] and 29[SUP]th[/SUP], which also had low gate revenue. Invoices from the rental of the radios and the ambulance service have not been received.

    There is approximately $5700 in outstanding revenue, which leaves the bank account around $22,000 minus the banquet expenses.

    The year-end banquet tickets have been printed. The tickets cost $50 per person and will NOT be available for purchase at the door. All tickets must be paid for in advance by PayPal, or by credit card (contact Jayson Lynch).

    Pam Black will notify all volunteers of the banquet.

    The Honda Centre barbecue netted $90 for the WMRC, which will be donated to BC Children’s Hospital.

    4. PROMOTIONS REPORT
    The televisions used at the Vancouver motorcycle show in 2013 are available for use at the January 2014 bike show. Any WMRC member that has video that they would like to add to the television displays can send that video to the new Promotions Team after the AGM on November 4, 2013.

    5. OLD BUSINESS
    a. AMB System: the WMRC will be using an AMB scoring system in 2014. John Cathie will follow-up on the addition of updated software, license transfer, Firmware for the decoder, etc., which is expected to have a total approximate cost of $4000. After receiving approval from the WMRC Executive, John Cathie will purchase the additional items required. All WMRC members should purchase a transponder for next year. The car club and all vendors will be asked if they would like to offer the rental of transponders for members who do not wish to purchase a transponder.


    1. NEW BUSINESS
      1. Rule Book Proposals: any rule book proposals for 2014 should be given to the rider rep, or placed on the WMRC forum under “Rule Book Proposals”.
      2. Track Tear-down: the year-end track tear-down went well, but the hay bales did not get wiped down due to the weather. At some point during a dry weekend, the bales will need to be pulled out of the trailers and wiped down or they will get moldy. Mike Thompson will either organize a day during the winter to clean the hay bales; or rent a pressure washer to clean them in the spring.
