    1. CALL TO ORDER
    President Scott Borthwick called the meeting to order at 7:03 p.m.

    2. MINUTES
    ) That the Minutes of the WMRC meeting held on April 14
    ( 2014, be accepted.


    3. FINANCIAL REPORT – Jayson Lynch

    Most of the clubs bills have been paid.
    After today’s deposit and having paid the insurance the club currently has $21,747.88 in the bank.
    The club has purchased it’s insurance for the year for $6,265.00. This includes directors insurance. Many thanks to Pam for help with this the club paid $500.00 less than last year with better coverage.
    There are still some debts to be collected from sponsors.
    All of last year’s sponsor debts have been paid.


    4. PROMOTIONS REPORT –Bruce Aylen

    Flyers have been handed out to every dealership with the exception of Carter Honda on Granville Island.
    Spero requested more posters for Modern Motorcycles.
    Promotions to get Bez put together a new promo pack for the tower announcer.
    Social Media is ongoing, looking to push soon for the start of the season.

    5. NEW BUSINESS
    Hay bale party has been announced on Saturday, April 26th @ 10.30am at the track.
    If you have time to give please help so that it goes quickly.
    The bales were purchased from the same supplier as last year. 160 bales at $3.00.00 a bale.
    A truck has been rented to transport the bales.
    The plastic for the bales has been ordered.
    A pressure washer will be at the track so that we can wash the air fences.

    It was mentioned to check our contract with the car club or speak with them to find out if we need security at the gate again this year, because if we don’t then we can save $1500.00

    The Tag Heurer system has been purchased and Dean is expecting to trained on the system soon, he will then train John and Pam.
    Data is currently being added to the system and the target is to have the user id’s emailed to members by April 26th.
    Once members receive their id’s they are urged to go online, update their information and register.

    Pam reports that licenses that have been paid for have been issued.
    Pam is still looking for volunteers but she has been contacted by some people who are interested.
    Pam will be doing both Pre-grid and doing grid positions, at this time she reports she does not need any extra help.

    There will only be a small number of transponders available for rent. The club is expecting to borrow 10 of the MX model from the PCMRC, these should only work for the 250cc bikes and will be available at registration on a first come first served basis. There will be a deposit required.
    Mspeed is expected to have 5 for rent.

    5 new radios were to be purchased to test. George was not available to give an update.

    New waivers have been created.

    The question was asked what does the insurance cover. It is the same insurance as last year but now includes directors insurance.
    The question was asked if two riders get into an altercation can the club be sued, and the short answer is no. The club would have to be found negligent first.
    Riders representatives should be taking a larger role and help to resolve issues between riders.
    A guide book for handling and reporting incidents was emailed to Pam from the insurance company, this should be scanned and included on the website.

    It was asked to help speed along registration and tech if they could be open on Friday, May 9th. John would have to check his schedule and see if he can be available.

    The track is currently being re-paved in some areas. The car club is confident that the track will be ready, but it should be noted that all their April race dates were cancelled and we will most likely be the first to race on the new surface.

    The car club offered us Friday May 2nd as a race date.

    The Friday, September 26th date is still available for us to use but we haven’t determined what we if we want it and what we would do with it. practice/race round/endurance race/other?

    My understanding is that Marbod already has his rental pool fully subscribed and spoken for, so at this point, there are no available transponders for rent. Correct me if I'm wrong, but if people are thinking they'll be able to rent on the first weekend, they are in for a rude surprise. We are pursuing another source for a rental pool for the WCC weekend only, but nothing concrete as yet. If that alternative rental pool is available the WCC visitors from out of town should have priority.

    It's good that you mention that John, personally I don't know if the Mspeed transponders have been spoken for but really the message is the same.. The hard truth is: if you want to be scored you need a transponder. you'll need to find a transponder yourself; don't expect to find the one at the track come race day.

    To go on the track, you need a transponder. My understanding is Marbod's rental pool is already booked. Maybe he can chime in and enlighten us.
