WMRC General Meeting Minutes – April 10, 2017 Attending: Members: 6 Non Members: 1 In addition to: Jason Hanson – President Brett Hanson – Treasurer Allan Hay – Vice President Jay Tait – Promotions Pam Black – Secretary Meeting was called to order at 7:20 by Jason Hanson Minutes from the March general meeting were read by Pam Black. Motion to accept was made by Allan Hay, seconded by Nick Dudziak. Treasurer Report: Our current bank balance as of April 1, was $62,025.85. Costs incurred this month include hay bale supplies, truck rental, tech stickers, track rental, and Insurance. Estimated balance after the outstanding payments is $42,317.99 Promotions: Jay Tait reported that the WMRC will be hosting 4 rounds of the Gold Cup this season, to be held May 21, May 22, July 29 and July 30. Gold Cup will be gridded and run with 250 production, but scored separately. New Business: There were some final revisions to the Rule book which has been updated and now posted on the site. Please carefully review the rule book to avoid encountering any surprises on race day! We have had stickers in memory of Tom Oates made, and are just awaiting approval from his estate as to how best to handle the sale and proceeds. We have purchased some updated computers to assist with registration and timing and scoring. The intent being to make the registration process run more smoothly but we need your assistance with this as well. We will be using Motorsports Reg (motorsportsreg.com) this season and need all racers to set up their profile and to pre-register for the first round. Please enter your credit card number as well, but please note YOUR CREDIT CARD WILL NOT BE CHARGED UNTIL YOU CHECK IN ON RACE DAY!!! Having the information already in there will make the process much quicker but still gives you the ability to pay by cash or with another card if you prefer. We have an extremely full race day schedule this season and would appreciate everyone making the effort to speed registration. We want bikes on track by 8:am! If you have any questions or problems with the online process, please reach out now! It is important to note that as of round 2 we will be enforcing late fees if you have not pre-registered. We will have only 20 transponders available to rent on race days. These will be on a cash only, first come first served basis. Avoid disappointment, get a transponder now! Our first class room session of the race school went well, thank you to Rob Schoemeyer and Andrew Marles for teaching the class! Thank you to the Sports Car Club of BC, Mark and John and their registration staff for recently hosting our timing and registration crew at their event. We really appreciate their time in giving us a tutorial on the new registration system. Thanks also to GIB Motors for their time and effort in the repairs to the crash truck! John Cathie proposed a contest to “Name a Race Day” with the winner to receive some swag. More discussion with promotions to continue. If anyone has an old (functioning) lap top or monitor to donate we could use them for registration and/or the race school. HAY BALE PARTY!!!!! Will be held on April 23!!!!! Please show up to help as this makes the work go much faster! A special thank you to Nick Goodall for volunteering again this year as Track Setup Coordinator. The French GP will be shown in the pits on the evening of our May 21 Round. *** Please note that we have found a meeting place that will provide us with a meeting room.
